Application and Payment Policy
To apply for exhibit space at the 2024 WTTT EXPO, please complete the registration form in order to receive the contract for Exhibit Space. Requests to exhibit received also as email confirmation than will also be processed. Completed applications along with the required minimum deposit of 50% per 10’x10’ exhibit space should be returned as early as possible. No booth space will be tentatively assigned without a completed registration or email confirmation and required deposit. For this reason, it is strongly recommended that those who wish to exhibit at the 2024 WTTT EXPO apply for space immediately upon receipt of invitation to attend. WTTT EXPO may, at its discretion, accept or reject any application for booth space.
Please note that, if exhibit space is sold out, the applicant will be placed on a waiting list and the applicant’s deposit payment will be cashed. However, this action should not be construed as acceptance to exhibit. If space does not become available or if the application to exhibit is rejected, the full amount of the deposit will be refunded to the applicant. Otherwise, deposits received in support of securing exhibit space are non-refundable.
Payment for exhibit space rental is due, in full, 60 days before the start date of the WTTT EXPO. Amounts previously submitted as deposits (and held by WTTT EXPO) may be applied. Failure to make full payment for requested booth rental 60 days before the start date of the WTTT EXPO may result in the cancellation of all or a portion of requested booth space by WTTT EXPO without refund of the deposit amount applicable to forfeited booth space, unless prior payment arrangements are made, in writing, with WTTT EXPO.
When completing an application to exhibit, please consult the WTTT EXPO team with a list of at least four specific exhibit space locations in order of preference. Though WTTT EXPO cannot guarantee a specific booth location, every effort will be made to honour applicant preferences.
1. PAYMENT INFORMATION
The accepted forms of payment for booth rental deposits and fees are: Bank Wire transfer, Zelle, Paypal Business or Stripe for all credit/debit cards, ApplePay and GooglePay.
2. EXHIBIT SPACE ASSIGNMENT
Assignment of exhibit space is made solely at the discretion of the WTTT EXPO. The exhibit applicant’s specification of a preference for a certain booth(s) on the application/contract is designed to provide show management with the general area where the exhibitor wants to be located. There is no guarantee that an exhibitor will be assigned any of the requested booths. To aid in the realistic assignment of space, we request that applicants not concentrate all of their booth selections in one area of the Exhibit Hall.
All exhibitors who are assigned space will receive a confirmation and invoice within two weeks of the assignment date. While we make every effort to accommodate space requests, it is the exhibiting company’s responsibility to confirm placement and advise the WTTT EXPO exhibit office of any conflict with the assigned space.
To determine the order in which space is assigned for early booth applicants, the following criteria are used:
Relation to Travel destination or Continent: Applications from companies whose products and services are directly related to the areas of Travel, Trade and Taste are given priority over those not so related.
Non-Travel, Trade or Taste related companies: Once all Travel, Trade and Taste companies are assigned space, non-Travel Trade or Taste related companies will be assigned space in order received.
Exceptions to this placement order will be made for WTTT EXPO event and product sponsors.
3. CANCELLATION OR REDUCTION OF SPACE
All cancellations and reductions of booth space must be made in writing. Cancellation or reduction of booth space may be made with a $950 fee per 10’ x 10’ booth imposed prior to October 4, 2023. Cancellations/reductions received after October 4, 2023 will result in 100 percent of the total booth fee due immediately or retained by WTTT EXPO.
If all exhibit space is sold, and a booth is cancelled or reduced but the space is resold, a fee of $950 for each 10’ x 10’ booth cancelled will be retained by the WTTT EXPO and the balance will be refunded.
4. ATTENDANCE DISCLAIMER
The projected number of attendees expected to participate at the WTTT EXPO is not guaranteed. It is based on the attendance at previous conventions/trade shows. While the WTTT EXPO is heavily promoted in advance and on-site at the convention, the WTTT EXPO is not responsible for low attendance or revenue at your booth. WTTT EXPO will not provide refunds due to lack of attendance or perceived lack of attendance.
5. RELOCATION OF EXHIBIT
WTTT EXPO reserves the right to alter the official floor plan and to reassign or rearrange all or any part of the space for the purpose of consolidation, cancellations, expansions, reductions, withdrawals or for any other reason. The judgment of WTTT EXPO in this matter is final. The total square footage occupied by the exhibitor pursuant to this agreement shall not be reduced/increased substantially without the consent of the exhibitor. If such space is substantially reduced/increased, the fee payable will be adjusted accordingly.
6. OFFICIAL SERVICE CONTRACTOR
Participating exhibitors will receive various options from WTTT EXPO with their official service contractor VISTA SOUTH, via email. The info contains complete information and options for all exhibit services. The available services include labour, material handling, display tables, drayage, and furniture and equipment rental. Additional services provided are:
Electrical, WI-FI and data: EDLEN or SMARTCITY (forms to be provided upon request).
7. EXHIBITOR - APPOINTED CONTRACTORS
If an exhibitor plans to use a contractor other than the WTTT EXPO official service contractor (VISTA SOUTH) for installation and dismantling of their exhibit, an Exhibitor-appointed Contractor form must be submitted to WTTT EXPO on or before June 5, 2024.
The request and notification of use of an exhibitor-appointed contractor must come from the exhibiting company, not the independent contractor. Requests from the independent contractor will not be acknowledged. Exhibitor - appointed contractors may not contact WTTT EXPO for services, booth numbers, floor plans, or other information related to the exhibitor’s booth.
8. HOTEL RESERVATIONS
Reserve your room early at the hotel partner discounted rates. A block of rooms at a special convention rate per night has been made available. To make your hotel reservation, contact the hotel the hotel directly. Only book your room via phone or online directly with the hotel. Be careful of outside sales calls misrepresenting themselves.
If any part of this policy (Application and Payment Policy) is found to be unenforceable the remainder shall still bind the parties.
